Who we are

Pup Notes is a trading name of Infiniti Code Ltd, a company registered in England and Wales. We are the data controller for personal data processed through the Pup Notes service. Contact us at hello@pupnotes.co.uk.

What data we collect

We collect:

• Account information (email address, name)
• Dog profile information (name, breed, date of birth, health data you choose to enter)
• Journal entries, health logs, weight records, and documents you create
• Payment information (processed by Stripe - we do not store card numbers or payment credentials)
• Usage data to understand how the service is used and to improve it
• Device and connection information (IP address, browser type) for security and fraud prevention

How we use your data

• To provide and improve the Pup Notes service (contractual necessity - UK GDPR Art 6(1)(b))
• To generate AI insights about your dog - Premium subscribers only (contractual necessity)
• To send reminders, notifications, and transactional emails (contractual necessity)
• To process payments and manage your subscription (contractual necessity)
• To detect fraud and ensure security (legitimate interest - UK GDPR Art 6(1)(f))
• To comply with our legal obligations (legal obligation - UK GDPR Art 6(1)(c))

We do not sell your data to third parties. We do not use your dog’s data for advertising. We do not use your Content to train AI models.

AI data processing

For Premium subscribers, when you request AI-generated insights, relevant context about your dog (such as journal entries, health logs, and weight records) is sent to Anthropic’s Claude API to generate a response. Anthropic acts as a data processor on our behalf under a signed Data Processing Agreement. Anthropic does not use your data to train its AI models. This processing is necessary to perform your Premium subscription contract (UK GDPR Art 6(1)(b)).

Third-party processors

We share data with the following processors solely to provide the Service:

Where processors are based outside the UK, data transfers are covered by the UK’s International Data Transfer Agreement (IDTA) or equivalent standard contractual clauses, ensuring your data receives equivalent protection.

Cookies

We use only essential cookies necessary to operate the service - for user authentication and security. We use Vercel Analytics, a cookieless, privacy-first analytics tool that collects no personal data and does not set cookies. We do not use advertising or tracking cookies. Consent is not required for strictly necessary cookies under the Privacy and Electronic Communications Regulations 2003 (PECR). For full details, see our Cookie Policy.

Your rights under UK GDPR

You have the right to:

• Access the personal data we hold about you
• Request correction of inaccurate or incomplete data
• Request deletion of your data (right to erasure)
• Export your data in a portable format (right to data portability)
• Object to processing based on legitimate interest
• Withdraw consent where processing is based on consent
• Lodge a complaint with the Information Commissioner’s Office (ICO) at ico.org.uk

To exercise these rights, use the export and deletion tools in your Dashboard, or contact us at hello@pupnotes.co.uk. We will respond within 30 days. Account deletion requests take effect 30 days after submission, during which you can reverse the request by logging in.

Data retention

We retain your personal data for as long as your account is active and for up to 30 days after account deletion, after which all data is permanently and irreversibly removed from our systems. Payment records may be retained for up to 7 years to comply with HMRC requirements.

Changes to this policy

We will notify you by email of any material changes to this Privacy Policy at least 14 days before they take effect.
